WebOps Hosting has been providing Managed Email Hosting service for more than two decades. Over that time, we have managed thousands of mailboxes for organizations of all sizes and a large part of what is involved in providing a high quality email service is maintaining a good reputation for our server IP addresses.
When an email that is sent from our servers is flagged as spam, it can negatively impact the IP address used to send that email. This means that other messages that are sent from that server are more likely to be filtered as junk mail. In the worst case scenario, an IP address can be blacklisted entirely by major email service providers like Gmail, Hotmail and Yahoo, which would prevent the delivery of any emails, of any kind, to those services while the blacklist is in place.
Typical business email communications between individuals and the kind of low volume messages sent from websites, like password resets and form notifications, are very rarely marked as spam and therefore do not generally affect server IP reputation. Sometimes a user’s desktop computer is infected with malware or their email password compromised, which can lead to junk mail being sent from their email address but our systems are very effective at identifying these rare cases and limiting the number of emails that can be sent.
Full email campaigns like email blasts and newsletters are a different matter and may not be sent from our host servers. These messages are likely to be automatically or manually marked as spam, especially in cases where best practices were not followed when the email addresses are collected. They require robust monitoring functionality and the ability to send large email volumes without slowing down the delivery of regular email communications.
We are not satisfied with restricting your email options and simply providing you with recommendations for email service providers and instructions on how to use them with your WordPress website. Instead, we can offload the delivery of email from your WordPress website to a third party email provider to ensure that your emails are delivered to your recipients, provide advanced tracking and optimization, without affecting our Managed Email Hosting services.
